Who we are 

As an FF&E specialist, the Westwood team provides comprehensive interior product, design, and project services across the office, HoReCa, and residential sectors. Our passion is to create functional, inspiring spaces that deliver a lasting experience for our clients.

In addition to distributing furniture, flooring, and other interior design elements, we provide high-quality design project management services. We offer complex, 360-degree support to our clients — covering the full lifecycle from planning to implementation — or join specific stages of a project, depending on our clients’ needs. 

Your role 

As a Project Coordinator, you will provide comprehensive administrative and operational support to project managers and the project team to ensure that all projects are delivered efficiently and smoothly.

  • You will be responsible for scheduling, document management, and supporting communication among all stakeholders.
  • You will be involved in every stage of the project: from preparation — including tendering, pricing, proposal creation, and contracting — to the execution phase, where you will actively support implementation, often through on-site coordination and supervision.
  • You will play a key role in facilitating communication between project managers, subcontractors, and suppliers.
  • This is a full-time, on-site position requiring regular coordination and communication with all project participants. 

Key responsibilities 

  • Project preparation: documentation management, budget drafting, quantity take-offs, handling requests for quotation, preparing bid packages, and tender coordination 
  • Project coordination: supporting planning processes, tracking deadlines, organising and documenting meetings, and maintaining communication among all stakeholders 
  • Documentation: overseeing the entire project cycle, managing contracts and budgets, preparing notes and reports, and maintaining project logs 
  • Stakeholder communication: managing suppliers and subcontractors, preparing handover documentation, and supporting the certification and approval process 
  • On-site coordination: full supervision and control of construction works, quality assurance, and adherence to project standards 
  • Supervision of subcontractors and suppliers: daily workflow management, coordination of resources (labour, materials, machinery), and ensuring efficient execution 

Requirements 

A higher education degree in architecture or a related technical field.

  • 2–3 years of relevant industry experience in a similar role; experience in interior design, architecture, or premium architectural materials/services — and related studies — is an advantage 
  • Strong communication, negotiation, and presentation skills in both Hungarian and English 
  • Valid Category B driving licence with confident driving experience 
  • Excellent organisational, communication, and time management skills 
  • Confident user of MS Office and basic project management tools 
  • Ability to read technical drawings and navigate CAD software, perform quantity take-offs quickly, and assist with cost estimation 
  • Experience in office or hotel fit-out projects, an established professional network, and familiarity with project management software (e.g., MS Project) are considered advantages
